Little Red Trucks is committed to providing quality services to you and this policy outlines our ongoing obligations to you in respect of how we manage your Personal Information.

We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

What is Personal Information and why do we collect it?

Personal Information is information or an opinion that identifies an individual. Examples of Personal Information we collect include names, pickup and delivery addresses, email addresses, phone numbers, details of the move you have booked, payment and billing information, records of your correspondence with us, and any information provided in support of an insurance or damage claim.

This Personal Information is obtained in a number of ways, including by correspondence, by telephone, by email, through our website littleredtrucks.com.au, from cookies, from other publicly available sources, and from third parties. We don’t guarantee website links or the policy of authorised third parties.

We collect your Personal Information for the primary purposes of providing our removals and storage services to you, and marketing those services. Providing our services includes preparing and sending quotes, confirming and scheduling bookings, carrying out your move, processing payments, issuing invoices and receipts, providing customer support, and handling insurance or damage claims. We may also use your Personal Information for secondary purposes closely related to a primary purpose, in circumstances where you would reasonably expect such use or disclosure. You may unsubscribe from our mailing and marketing lists at any time by contacting us in writing.

When we collect Personal Information we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.

Website Analytics and Session Recording

To help us improve our website and online booking experience, we use analytics tools including Google Analytics and Contentsquare (the platform behind Hotjar). These tools use cookies and similar technologies to show us how visitors use our website, for example which pages are visited and where visitors encounter difficulty.

Contentsquare may also record browsing sessions, capturing interactions such as mouse movement, scrolling, clicks and the pages visited. These recordings are used solely to improve our website and services. Information you type into forms, such as your name, contact details and address, is masked by default and not intended to be captured in recordings.

Sensitive Information

Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

Sensitive information will be used by us only:

  • For the primary purpose for which it was obtained;
  • For a secondary purpose that is directly related to the primary purpose; or
  • With your consent, or where required or authorised by law.

Third Parties

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

Disclosure of Personal Information

Your Personal Information may be disclosed in a number of circumstances, including the following:

  • To service providers who perform functions on our behalf. These include payment processing, booking and job management, accounting and invoicing, email and calendar services, SMS and email delivery, website and booking application hosting, website analytics, and AI-assisted business analysis tools. These providers are permitted to use your Personal Information only for the purpose of providing services to us;
  • To our staff, removalists and contractors, to the extent needed to prepare for and carry out your move;
  • To third parties where you consent to the use or disclosure;
  • To our professional advisers, including our accountants, lawyers and insurers, where reasonably required; and
  • Where required or authorised by law.

We do not sell your Personal Information.

Overseas Disclosure of Personal Information

Some of the service providers we use are located outside Australia, or store data on servers located outside Australia. This means your Personal Information is likely to be disclosed to recipients overseas.

The categories of overseas service providers we use include:

  • payment processing;
  • booking, quoting and job management;
  • accounting and invoicing;
  • email, calendar and file storage;
  • SMS and transactional email delivery;
  • website and booking application hosting;
  • website analytics and session recording; and
  • AI-assisted business analysis tools.

The countries in which these recipients are likely to be located are the United States and France.

Before disclosing Personal Information to an overseas recipient, we take steps that are reasonable in the circumstances to ensure that the recipient does not breach the Australian Privacy Principles in relation to that information. This includes selecting established providers that publish privacy and security commitments, and relying on the contractual terms under which those providers handle personal data.

You should be aware that overseas recipients may be subject to the laws of the country in which they are located, and that those laws may differ from Australian privacy law.

Security of Personal Information

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.

Access to your Personal Information

You may access the Personal Information we hold about you, and update and/or correct it, subject to certain exceptions. Requests to access or correct your Personal Information should be directed to our General Manager, using the contact details in the “Privacy Policy Complaints and Enquiries” section at the end of this Policy.

Little Red Trucks will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information.

In order to protect your Personal Information, we may require identification from you before releasing the requested information.

Maintaining the Quality of your Personal Information

It is important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up-to-date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.

If you wish to make a complaint about the way we have handled your Personal Information, please put it in writing so that we have a clear record of your concerns. We will acknowledge your complaint within 5 business days and let you know when you can expect a written response. We will then respond as soon as we reasonably can.
